Special Parts Administrator (m/f/d)

We are looking for a dedicated professional to strengthen our team and take on a key role in order processing and supply chain coordination. In this position, you will play an essential part in ensuring smooth operations across our value chain: from confirming customer orders in the ERP system to managing the logistical and commercial alignment with internal operational departments, as well as maintaining effective communication with our external customers. Additionally, within the Supply Chain function, you will be responsible for planning, leading, and overseeing all purchasing activities within your area of responsibility to ensure continuous material availability for the assigned customer group.

• Analyze material and service requirements regarding timing, quantity, and availability for production and distribution.
• Initiate, track, and manage purchase orders until material arrival, including order confirmation, dunning processes, and the use of modern procurement tools and systems (e.g., Internet portals, SAP).
• Expand and optimize the supply chain, focusing on cost‑efficient and demand‑driven logistics processes.
• Act as the main point of contact for suppliers as well as internal and external stakeholders for all procurement- and material-related topics.
• Create and maintain delivery forecasts based on component planning and sales projections for suppliers.
• Maintain and update all relevant master data in SAP to ensure high data quality and secure end‑to‑end processes.

• Minimum of 5 years of professional experience in a comparable position within supply chain, procurement or order management.
• Strong team player capable of collaborating effectively in a multifunctional and cross‑departmental environment.
• Excellent communication skills, enabling clear, proactive, and solution‑oriented interaction with internal and external stakeholders.
• High level of motivation and personal drive, with the ability to take initiative and manage tasks independently.
• Proven SAP expertise, particularly in procurement, material management, and master data maintenance.
• Strong command of MS Office applications (Excel, Outlook, PowerPoint, Word), with solid analytical and data-handling abilities.
• Fluency in English and German, both written and spoken, for effective communication in an international context.
• Strong sense of urgency, with the ability to prioritize tasks and react quickly in time‑critical situations.
• Awareness of the role’s impact on overall program success, demonstrating responsibility, ownership, and commitment.

Your annual salary is based on your previous professional experience and educational level and ranges between € 43.000,- und € 50.000,- gross pa. full-time basis.
